I am now in the middle of my second week of inconsistent door knocking. While this may not seem like a inconsequential statement to you, it means everything to me.

The Only Thing Constant is Change!

I knock in the same area all the time- about 4000 doors that I get to about once a quarter. I"ve been knocking consistantly for 5 years (wow, has it been that long?)

Springtime at the Doors!

Well, this doesn't sound nearly as romantic as springtime in Paris.... it is pleasant none-the-less! The smell of fresia of sweet pea and of steer manure, the slightly warm breeze kissing my cheek, the budding out of Tulip Tree, Liquid Amber and Birch.

Hey Kendyl, yes, I've reconnected with my old friends. I started doing more business brokerage than real estate (about 95% of my efforts are within business brokerage), so I ducked out while screaming up the learning curve. I went to the workshop this past Saturday (I guess that's obvious?), and, walla! Of course Steve worked you in to his talk, doesn't he always?? Hope everything is going well for you.

Hi Kendyl,

My apologies for taking a few days to get your question... I'll try to do better next time!

I generally divide contact management software into two categories paralleling types of consultants, namely, "generalist" and "specialist," with generalist referring to simple, basic programs suitable for personal use and specialist referring either to vertical market solutions or certain work functions. For professionals and businesses, a more robust kind of "contact management" is referred to as "CRM" or customer relationship management software. I do not find generic contact management software to be sufficient for a serious real estate practice as, by definition, it is not designed to accommodate specialist data. Although I've seen "add-ons" to both Outlook and ACT for real estate, both seem to be halfway approaches at best.

Because of the special requirements for data types and use, most corporations operate in custom database solutions produced by in-house or contracted consultant-developers. The latter was my business for about two decades, serving clients such as Johns Hopkins University, Johns Hopkins Hospital, The National Aquarium, the City of Baltimore and many large corporate entities. I know of a few large real estate teams that have had custom database software developed for their business, but because of the high costs involved, this is rare. It's clear these teams felt that off-the-shelf solutions were not up to the size and type of business they were intent on building.

The next major breakdown for this discussion is how the software is delivered and used. Again, two categories: the first is "hosted" or web-based solutions; the second is private solutions that reside on computers you control. A dark secret to nearly all hosted solutions for real estate is that subscribers cannot take all their data with them should they decide to leave (I know of no other industry besides real estate where this practice is accepted). Private systems are just that: you own and control all the data. To be clear, private systems can also by accessed via a web browser while still providing protection of the actual data for the business owner. Personally, I would never use a vendor-hosted solution as my business data is too important to me. Anecdotally, a friend of mine, Russell Shaw, who uses a private system, once said to me "if my clients knew that I was uploading their cell phone numbers and other data to a web site, I'd lose their business". I've predicted for years that the day will come when a seller will slide an NDA (non-disclosure agreement) across the table requiring the agent's signature as a condition for obtaining the listing. Just this past Friday, while conducting a presentation for my company an agent in the audience said a seller required exactly that assurance in order to do business.

Your statement: "I am specifically interested in better integration of e-mail and contact management/notes history and the ability to mass e-mail" is exactly on the money. True CRM software allows you do this. Consider the large corporations you do business with where calls are handled by representatives having access to notes covering every interaction you've had with them. This is the technical foundation to good customer service. In years of doing what I do, I can't tell you the number of times I've confirmed that the last thing a client wants to hear from their agent is "let me get back with you". Most agents either have no system or a conglomeration of partial systems that do not interoperate. This produces frustration for the agent and the people they serve.

Because I am a big fan of David Allen's "Getting Things Done," I advise real estate business owners to have one (ONE!) trusted system. This can be a very simple paper-based system but that's a bit retro don't you think? The book "Millionaire Real Estate Agent" states that you need at least 1,620 in your "met" database or 16,000 people in your "have not met" database to make a million dollars. These numbers are far greater than what I find most agents have or are in a position to mange and leverage.

Now for the full disclosure part and to answer your specific question. When I began what was to be a short career in real estate, I actually surveyed all the available software for real estate and couldn't find anything good enough to spend my own money on. As mentioned above, Outlook and ACT were not up to the job. Hosted solutions like TopProducer were simply out of the question because I was not willing to build a business where I would forever be held hostage to their control over my business data. I looked at Agent Office but found it to be an antiquated Access-based product that didn't seem to have a future. The dearth of great real estate software that kept the agent in control of their own business led me to start the company Real Estate Success Tools and our software "Real Estate Success Tracker" (aka "REST") is used by agents in nearly all 50 states and (at last check) five countries. It is specifically designed to track and manage all the notes and histories associated with your clients and has mass-mail (both email and print) built in. It is available in both single-user and multi-user versions for up to 250 concurrent users.
